The UAN (Universal Account Number) is a 12-digit unique identification number assigned by EPFO to all employees covered under the Employees’ Provident Fund (EPF). It remains the same throughout your career, even if you change multiple employers. 

Each time you switch jobs, a new PF member ID is created. However, it gets linked to your existing UAN. This allows you to track all your EPF accounts in one place. Here's a little more on why UAN registration is important:

  • Unifies Multiple EPF Access: Earlier, every job change meant a new EPF account. This made it difficult to track and manage funds. With UAN, all EPF member IDs from different jobs are linked under one number. This eliminates the hassle of managing multiple accounts.  

  • Simplifies EPF Transfers: Before UAN, transferring EPF funds required employer approval, long processing times, and loads of paperwork. With UAN, fund transfers between old and new accounts happen automatically.

  • Ensures Accurate Employer Contributions: With UAN, employees receive notifications and SMS alerts every time their employer deposits the EPF contribution. This ensures transparency and helps employees track if their employer is making timely payments. 

  • Makes Online Withdrawals Easy: Without UAN, PF withdrawals required employer verification. This made the process quite lengthy. However, with UAN registration and activation, employees can withdraw their PF online without employer approval.

  • Improved Transparency and Control: Employees don't need to depend on employers to access their EPF balance, withdrawals, or contributions. UAN allows direct access to EPFO’s online services. This gives you (as an employee) full control over your funds. 

  • Reduces EPF Frauds and Mismanagement: Since UAN is linked to PAN, Aadhaar, and bank details, it prevents all fraudulent withdrawals and mismanagement of EPF funds. Employees can monitor their accounts in real-time. This reduces all chances of fraud. 

Steps to Register and Activate Your UAN Online

Here's a step-by-step process to help you with UAN registration and activate it online. 

  1. Find Your UAN 

    Check your salary slip. Employees generally mention UAN. If not, visit the EPFO portal and click on ‘know your UAN’. Enter all the necessary details to retrieve your UAN.

  2. Visit the EPFO Portal 

    If you have your UAN, head to the official EPFO member portal. This has to be the official website where employees can access EPF-related services. 

  3. Click on ‘Activate UAN’

    On the homepage, look for the ‘Activate UAN’ option. You may find this under the important links section. Click on it. 

  4. Enter Your UAN and Personal Details

    Here, you will be asked to provide all essential details. Make sure that all your details match your EPFO records. In case there's a discrepancy, your request may be rejected. Some of these details will include: 

    • UAN (provided by your employer) 

    • Aadhaar Number or PAN (either one, whichever is linked to your EPF account) 

    • EPF Member ID (this will be available in your EPF passbook or your salary slip) 

    • Registered Mobile Number (the one linked with your UAN) 

    • Date of Birth (as per EPF records) 

    • Captcha code 

  5. Generate OTP for Verification 

    After entering the details, tap on ‘Get Authorisation Pin’. An OTP will be sent to your registered mobile number. Enter this OTP in the given field and click on Validate OTP. 

  6. Set Your Password and Activate UAN

    If you have been wondering how to create a UAN password, this is it. Once your OTP is verified, you will be asked to create a strong password. This will be your UAN password. After setting this, click ‘submit’. The activation process will be completed. You will then receive a confirmation message stating that your UAN has been successfully activated. 

  7. Log in to Your UAN Account 

    Now that your UAN is activated, you can easily log in to the EPFO Member Portal using the UAN as the user ID, and the password you just created. Once logged in, you can update your KYC details, access EPF services, check your balance, and download your EPF passbook. 

How to Retrieve UAN if Forgotten?

Retrieving your UAN is yet another process which is extremely easy. All you need to do is follow these simple steps listed below and you can regain access to your EPF account. 

  • First things first, go to the official EPFO Member Portal. 

  • On the login page, click on ‘know your UAN’. Enter all your personal details. Click ‘request OTP’, and you will receive the same on your registered mobile number. 

  • Next up, enter the OTP received on your phone and click ‘validate OTP’. If your details match the EPFO records, your UAN will be displayed on the screen. 

  • Once your UAN is retrieved, save it for future reference. You can use this to log in to the EPFO Member Portal and access your EPF account. 

Note: In case you no longer have access to the mobile number linked to your UAN, contact your employer and request your UAN. Visit the nearest EPFO office with your Aadhaar, PAN, and salary slips. This will help you request for UAN retrieval. Next up, submit a request to update your mobile number in EPFO records.

    UAN activation allows employees to apply for a PF advance (loan) online without paperwork during financial emergencies. 

  • Online Nomination Facility

    Employees can add or update nominees digitally. This ensures hassle-free EPF settlement in case of unforeseen circumstances. 

  • Eases EPF Claim Process for Family Members

    In case of an employee's unfortunate demise, nominees can easily claim EPF funds if UAN and KYC details are updated. 

  • Lifetime Access to EPF Records

    Even after retirement, employees can log in to the UAN portal to access their contribution history, EPF passbook, and pension details. 

    1. Incorrect Personal Details

      UAN activation fails if the details do not match the EPFO records. 

      • Solution: Make sure you verify the details with your employer and payslip before activation. If incorrect, request your employer to update them on the EPFO portal. 

    2. Mobile Number Not Linked/Changed 

      Generally, OTP verification fails if your registered mobile number is inactive or incorrect. 

      • Solution: In case your old number is active, update the new number via the UAN portal. In case it is inaccessible, contact EPFO helpdesk or submit a request via your employer. 

    3. Multiple UANs Issued 

      Employees changing jobs may get multiple UANs. This can lead to solid confusion. 

      • Solution: Only one UAN must be active. Hence, merge them all by submitting a request via the EPF grievance portal or informing your new employer. 

    4. EPFO Portal Not Working/Showing Errors 

      Sometimes, the EPFO website crashes or does not process requests altogether. 

      • Solution: Try to access the portal during non-peak hours. If the issue still persists, use the UMANG app or contact the EPFO customer support. 

    5. Aadhaar/PAN Not Linked to UAN

      This is the most common error. Without linked Aadhaar or PAN, online activation may completely fail. 

      • Solution: Link your Aadhar and PAN by logging into the EPFO portal under the ‘Manage KYC’ section. Make sure that all the details in Aadhaar match your EPFO records. 

    6. Employer Hasn't Generated UAN

      Some companies fail to create UAN numbers for employees. 

      • Solution: Instead of panicking on how to generate UAN number, reach out to your employer and request for UAN generation. If they don't, visit the EPFO portal and generate your UAN using your Aadhaar. 

    7. Forgotten UAN 

      Employees who have not used UAN for a long time may forget it entirely. 

      • Solution: Retrieve your UAN by visiting the EPFO Member Portal and using the ‘know your UAN’ option. Here, enter your Aadhaar, PAN, and registered mobile number to receive your UAN.
